Client Information & Policies
The following information is provided to support clarity, comfort, and a smooth experience before, during, and after your visit with Hazelwood.

Appointments & Communication
Appointment confirmations are sent by email at the time of booking.
Courtesy reminders may also be sent prior to your appointment where applicable. We recommend adding your appointment to your personal calendar, as confirmation emails and texts may be automated no reply messages.
From time to time, Hazelwood may send occasional updates, availability notices, or special offers. Marketing communications can be opted into or out of at any time.

Online Bookings, Deposits & Pricing
Bookings require a reservation fee or deposit to secure your appointment. Deposits are deducted from your final treatment balance during your visit.
Deposits may be refunded or transferred where cancellations or appointment changes are made with at least 48 hours notice.
Appointments cancelled or rescheduled within 24 hours may be charged at the full appointment value.
Wherever possible, Hazelwood will always aim to help clients reschedule appointments and avoid cancellation charges. We actively operate waiting lists and client contact systems to help refill appointments where possible.
Please note:
• online booking systems do facilitate voucher redemption
• vouchers may be used toward booking deposits where applicable
• physical or digital vouchers must still be presented at your appointment
• clients remain responsible for presenting valid voucher details at redemption
• some specialist, group, or large bookings may require a higher deposit or advance payment
Hazelwood reserves the right to adjust treatment pricing, timings, service structures, therapists, or package inclusions where reasonably necessary.
Any updated pricing will apply from the effective date stated, including future appointments booked prior to the announcement date.

Corrective Treatment Policy
Your satisfaction is important to us. If you believe a treatment requires corrective consideration, please contact Hazelwood within 3 days of your appointment.
Where corrective work is deemed appropriate, arrangements will be made within a reasonable timeframe and with a therapist selected by Hazelwood.
Gel nail lifting or chipping concerns should be reported within one week of application and apply only where appropriate aftercare guidance has been followed.

Tint Testing & Treatment Suitability
Tint tests are required at least 48 hours prior to tinting or lash lifting treatments:
• if this is your first tint or lift treatment at Hazelwood
• if more than 6 months have passed since your previous tint or lift treatment with us
Some treatments may require consultation, medical guidance, or suitability approval prior to proceeding.
Hazelwood reserves the right to refuse or adapt treatments where considered unsuitable, unsafe, or not in the client’s best interests.

Gift Cards, Courses & Packages
Gift cards and vouchers purchased online may be cancelled within 14 days of purchase where they have not been redeemed.
Unless otherwise stated:
• gift cards are valid for 12 months
• gift cards are non refundable and cannot be exchanged for cash
• lost, stolen, or damaged gift cards cannot be replaced
Courses, packages, and prepaid treatments are non refundable.
Where a medical or treatment suitability concern prevents continuation, Hazelwood may offer the remaining balance to be transferred toward another suitable treatment at management discretion.

Returns, Refunds & Online Purchases
Your statutory consumer rights remain unaffected.
Products purchased in salon are non refundable unless faulty.
Unopened products in original condition may be exchanged within 14 days with valid proof of purchase.
Online return requests must be made within 14 days of receiving your order.
Returned items must remain unopened, unused, sealed where appropriate, and in original packaging unless faulty.
Return postage costs remain the responsibility of the customer unless the item is faulty.

Independent Practitioners
From time to time, independent self employed practitioners may operate from within Hazelwood.
These practitioners manage their own appointments, pricing, treatments, consultations, insurance, payments, vouchers, packages, policies, and client agreements independently from Hazelwood Beauty Ltd.
Hazelwood gift cards, deposits, treatment packages, memberships, promotions, and voucher systems do not apply to independently operated businesses unless specifically stated.
Any concerns relating to independent practitioner services should be directed to the practitioner directly.

Visiting Hazelwood
To help maintain a calm and relaxing environment for all guests, anyone under 16 years of age must have their own pre booked appointment to attend the salon.
Free off road parking is available directly outside the salon, alongside unrestricted nearby street parking.
Hazelwood offers downstairs reception access, a downstairs toilet, and a downstairs treatment room for clients requiring easier accessibility.

Respect & Professional Environment
Hazelwood is committed to maintaining a respectful, calm, and supportive environment for both clients and team members.
Any inappropriate, aggressive, abusive, threatening, or repeatedly disruptive behaviour, whether verbal, written, online, or in person, may result in refusal or termination of treatment and future bookings may not be accepted.

Privacy & Data Protection
Hazelwood Beauty Ltd is committed to protecting your privacy and handling personal information responsibly, securely, and in accordance with current UK GDPR legislation.
Personal information may include:
• contact details
• appointment history

• manage appointments and bookings
